1. General Acknowledgement

By booking and participating in this group trip, you (the “Traveler”) agree to the following Terms and Conditions set by [Agency Name] (the “Agency”). It is your responsibility to read and understand these terms before submitting payment.

2. Customer Responsibilities

– Eligibility: You must be 18 years or older to book unless accompanied by a legal guardian.

– Accuracy of Information: You are responsible for providing accurate and complete personal information,
including travel documents and roommate details where applicable.

– Timely Payments: You agree to meet all payment deadlines as outlined by the Agency. Failure to do so may result in cancellation of your booking without refund.

– Behavior: Travelers are expected to behave respectfully toward other group members, staff, and third-party service providers. Disruptive behavior may result in removal from the group at the traveler’s expense.

3. Double Occupancy & Roommate Policy

– Double Occupancy Definition: Travelers opting for double occupancy will share accommodations with one other traveler.

– Roommate Assignment:

– Self-Selected Roommates: You must list your preferred roommate on the registration form at the time of booking. Both parties must mutually confirm the arrangement.

– No Roommate Listed: If no roommate is listed and you have selected double occupancy, the Agency will attempt to match you with another traveler. If no match is available by the final payment date, you may be required to pay the single occupancy rate or forfeit your spot with applicable cancellation penalties.

– Roommate Conflicts: The Agency is not responsible for personal incompatibility between roommates. Room changes are subject to availability and additional fees.

4. Travel Insurance

– Mandatory Insurance: Travel insurance is required for all travelers. Each participant must purchase their own individual policy covering, at minimum, trip cancellation, trip interruption, medical emergencies, and baggage loss or delay.

– Proof of Coverage: Travelers must submit proof of valid insurance coverage no later than [insert date or “30
days prior to departure”].

– Agency Disclaimer: The Agency does not sell insurance policies and is not responsible for the adequacy or
limitations of individual coverage. It is your responsibility to understand your policy and file claims directly with the insurer.

5. Liability Disclaimer
The Agency is not liable for:

– Acts of God, government actions, or events beyond its control.

– Illness, injury, loss, or damage incurred during travel.

– Travel disruptions, delays, or cancellations by third-party providers.
Travelers participate at their own risk and agree to hold the Agency harmless for any such occurrences.

6. Changes & Cancellations

– Traveler-Initiated Cancellations: Must be submitted in writing. Cancellation fees will apply as per the
cancellation schedule provided at booking.- Agency-Initiated Changes: The Agency reserves the right to adjust the itinerary, accommodations, or activities as needed. Any material change will be communicated promptly.

7. Acknowledgment & Agreement
By submitting your booking and payment, you acknowledge that you have read, understood, and agreed to all terms outlined herein.

Travel Group Cancellation Policy

– A non-refundable deposit of $350 is required to secure your spot on the trip.

– Cancellations made on or before December 17, 2025 (120 days before April 15, 2026) will receive a full refund **minus the $350 non-refundable deposit**.

– Cancellations made after December 17, 2025 are not eligible for a refund from the Agency.

– Please refer to your individually purchased travel insurance for possible reimbursement of non-refundable
amounts.
